Executive Assistant to the Board of PGGM Investment Management

As an Executive Assistant for the IM Board, you will support two members of the PGGM IM Management Team. Together with your fellow executive assistants, you help the PGGM IM Board operate smoothly. This means effectively managing complex calendars, actively handling email inboxes, drafting and coordinating meeting schedules for various committees, and supporting internal communication events. You keep a close eye on action items and deadlines and act promptly when urgent matters arise by sharing information and clearing schedules. Where needed, you assist in preparing presentations or short memos. You will work closely with the executive assistants of other board members. Thanks to your team’s efforts, the PGGM IM Board can perform its work efficiently.
Main Responsibilities
- Provide regular secretarial and administrative support (including complex calendar management, mailbox oversight, meeting preparation, management of board archives, prioritization, and deadline monitoring);
- Organize and book (international) travel and board meetings;
- Plan and coordinate events and gatherings;
- Prepare presentations and memos.
Jouw afdeling binnen PGGM
The team of executive assistants is part of the Business Management department. In your role, you report to the Head of Business Management. The Business Management team consists of three areas of expertise:
- Partnership Management and Evaluation
- Responsible for the strategic partnership with PFZW, the establishment of governance agreements, and the evaluation of PGGM IM’s products and services.
- Management Consultants and Corporate Secretariat
- Focuses on strategic support for the IM Board, preparation of decision-making, and translating strategy into implementation and advice.
- Executive Assistants
- Serve as the organizational hub around the PGGM IM Board, focusing on planning, support, and fostering connections within and outside the Board.
Jouw achtergrond
You are accurate, curious, intelligent, and assertive. Since a major part of the job involves organization, you possess excellent communication skills. You think quickly and act decisively, ensuring you obtain the information you need—even when it takes persistence. You always keep your objectives clearly in sight.
Profile
- At least 3 to 5 years of relevant work experience;
- A team player with strong communication skills who actively shares knowledge;
- Proactive and thoughtful about work processes and optimization;
- Pragmatic and trustworthy;
- Organizationally sensitive;
- Fluent in Dutch and English;
- Excellent command of MS Office (Outlook, Word, PowerPoint, Excel, Teams) and Ibabs;
- Completed education in Office Management or a comparable field.

- A gross monthly salary in scale 13, between €3,032 and €4,331 based on 36 hours, depending on your knowledge and experience;
