Management Assistant to the IM Board (32–36 hours per week)
Your role
As a management assistant to the IM Board, you will support the CEO of PGGM IM, who is also a member of the Executive Committee of PGGM. Together with your fellow management assistants, you will relieve the PGGM IM board of operational burdens. This means managing complex calendars, actively handling the inbox, coordinating meeting schedules for various committees, and organizing internal communication events. You will keep track of action items and important deadlines, staying highly alert to urgent matters. When such matters arise, you act immediately by sharing information and clearing the calendar. When needed, you assist in preparing presentations or short memos. You work closely with the other management assistants supporting the board. Thanks to your efforts, the PGGM IM Board can perform their work effectively.
Key Responsibilities:
- Routine secretarial support (including complex calendar management, inbox handling, meeting preparation, maintaining the board archive, prioritizing tasks, and monitoring deadlines);
- Organizing and booking (international) travel and board meetings;
- Organizing/coordinating events and meetings;
- Preparing presentations and memos.
Your department
The management assistant team is part of the Business Management team. In your role, you report to the Head of Business Management. The Business Management team consists of three areas of expertise:
- Partnership Management and Evaluation
- Responsible for the strategic collaboration with PFZW, evaluating the effectiveness of the partnership, and shaping governance agreements.
- Management Consultants and Corporate Secretary
- Focused on strategic support to the IM Board, preparing decision-making processes, and translating strategy into implementation and advice.
- Management Assistants
- The organizational hub around the PGGM IM board, focusing on planning, support, and connection within and outside the board.
Your profile
You are precise, curious, smart, and assertive. Since a large part of the role involves organizing, your communication skills are excellent. You think quickly and act decisively to gather the information you need—even when it’s not easy. You always keep your goal in sight.
Requirements:
- At least 3 to 5 years of relevant work experience;
- A team player and independent supporter with strong communication skills who actively shares knowledge;
- Proactive in supporting the head of business management and the CEO IM;
- No-nonsense attitude and integrity;
- Organizational sensitivity;
- Fluent in Dutch and English;
- Takes initiative and contributes ideas for process improvement;
- Excellent knowledge of MS Office (Outlook, Word, PowerPoint, Excel, Teams) and iBabs;
- Completed office management or similar education.

- A gross monthly salary in scale 13, between €3,032 and €4,331 based on 36 hours, depending on your knowledge and experience;
